Custom Manage Permissions for Team-managed/Next-gen projects
By default, custom permissions are disabled, so anyone who can see an issue can also use Tick features. To enable more advanced control, follow the steps below.
Open Tick Permissions
Go to Jira → Manage Apps, and in the sidebar, click Permissions under the Tick app section.
Enable Custom Manage Permissions
By default, Manage Permissions
are disabled to simplify onboarding. To control who can view checklists and tasks, enable the Manage Permissions
checkbox.
For Team-managed/Next-gen Projects
On the left side, find your projects. Click the three dots to the right of the project name, and then select Project Settings
.
Manage roles
In the project settings, click on the Access
link on the left. Once the page opens, look in the top right corner for Manage roles
and click it.
Create a New Role
A window will pop up. Click the Create role
button. Remember, in Team-managed (Next-Gen) projects, you cannot change the default roles. To use custom permissions, you need to create a new role and give it the permissions you want.
Name Your Role and Set Permissions
On the next screen, give your new role a Name and a Description. Then, click on the App permissions
tab. Here, you will find the custom permissions from Tick:
- Add Tasks (Tick): Allows users to: add tasks; add tasklists (checklists); apply templates.
- Edit Tasks (Tick): Allows users to: edit task title; edit tasklist (checklist) title; assign task; edit due date; convert to subtask; make task optional; change order.
- Toggle Tasks (Tick): Allows users to: check or uncheck task, change status of task.
- Remove Tasks (Tick): Allows users to: remove task, remove tasklist (checklist).
- Manage Templates (Tick): Allows users to: create, edit and remove checklist templates.
Choose the custom permissions you want for this role. At the bottom of the window, you can add people or groups to this role by their email. Once you have added them, click Create
.
Seeing the Changes
Here's how it looks when you've set up the permissions. You can see you can add and remove tasks and tasklists, but the option to check them on/off is not available because of the current permissions.
Should a user, lacking the necessary permissions, attempt to perform an action they are not authorized for, the following message will be displayed:
This ensures that the custom permissions you've configured are effectively enforced within your Jira environment.
Congratulations!
🎉🎉🎉 You have now set your custom permissions. May your work flow smoothly! 🎉🎉🎉
Conclusion
By tailoring the Tick app's permissions, you've gained the power to fine-tune how your teams interact with checklists and templates within Jira. This means smoother workflows, clearer responsibilities, and the right level of access for everyone involved.
Remember, the most effective permission setup often evolves with your team's needs. Don't hesitate to revisit these settings as your projects and collaborations change.
Here are a few friendly recommendations as you continue your journey:
- Start Simple: If you're new to custom permissions, begin by adjusting the 'View' permissions to control who can see your checklists. You can always add more granular 'Manage' permissions later.
- Consider Roles: Think about the different roles within your teams and align the permissions with their responsibilities. This makes it easier to manage access and ensures everyone has what they need (and nothing they don't).
- Communicate Changes: When you adjust permissions, let your team know! A quick message explaining the new access levels can prevent confusion and ensure a smooth transition.
- Review Periodically: It's a good practice to check your permission settings every now and then to make sure they still fit your team's current way of working.
